- Application of General Terms
- All existing terms and conditions of Medulla Supplies apply to Medulla AI users. These can be reviewed on our website or upon request.

- All data is encrypted during upload and storage to ensure its safety.
- Medulla AI does not derive any competitive advantage from the data you provide, and it will only be used for the purpose of generating accurate supply forecasts.
- Human Decision-Making Retained
- While Medulla AI provides automated supply forecasts and ordering recommendations, the final decision to accept, amend, or decline an order remains with the user.
- Medulla AI serves as a decision-support tool, and users retain full control over their ordering process.
- Amendments to Forecasted Orders
- Practices can review and modify any forecasted order before approving it. Changes may include adjusting quantities, adding or removing items, or canceling the order entirely.
- Liability Disclaimer
- Medulla AI operates using predictive algorithms based on historical data; while we strive for accuracy, errors or omissions may occur.
- Medulla Supplies is not liable for any inaccuracies, errors, or omissions in AI-generated forecasts, nor for any consequences resulting from these errors.
- Users are encouraged to carefully review all forecasted orders before approval.
- Responsibility for Declined Orders
- If an AI-generated order is declined in full, it is the sole responsibility of the practice to ensure they have adequate medical supplies. Medulla Supplies accepts no liability for any disruptions caused by a lack of supplies in such cases.
- Limitations of AI Functionality
- Medulla AI is designed to assist in supply forecasting and order automation but is not a substitute for thorough inventory management or human oversight.
- Users are advised to cross-check forecasts and recommendations periodically to ensure alignment with their actual needs.
- Termination of Use
- Medulla Supplies reserves the right to terminate access to Medulla AI for any user who violates these terms or abuses the system.

Consumer Contracts Regulations
The Consumer Contract Regulations apply solely to purchases made for personal, non-commercial use. They do not cover purchases made for commercial purposes or purchased by businesses.
How to Cancel Your Order
Due to our rapid order processing, changes to orders cannot be made once they are placed. Although orders cannot be canceled after being placed, you may refuse delivery or contact us for a cancellation after the order has arrived, depending on the items ordered. If you decide to return the order, you must notify us within 14 days of receipt, and you then have an additional 14 days to return the items to us.
How to Return Your Order
You may return a product purchased from us for the following reasons:
- If the product arrives faulty or damaged.
- If the product is incorrect due to a picking error or misinformation (this must be reported within 14 days of receiving the order).
- If the product is unsuitable or you are dissatisfied with it.
Return Guidelines:
- Returned goods must be in their original packaging and in resalable condition.
- Any free gifts or additional items included must also be returned.
- You must obtain a Returns Authorization Number and label the package with it for efficient processing.
- For fridges, report any damage within 10 days of delivery.
A restocking fee may apply for made-to-order items or items shipped directly from the manufacturer if returned without a fault. Contact our customer services for more information.

You are responsible for return shipping costs unless the item is faulty or the error was on our part. In such cases, the item will be collected, or postage costs will be refunded at our discretion.
Items Not Eligible for Return
We regret that returns cannot be accepted for:
- Personalized items or specially manufactured products made to order.
- Items of a sanitary nature like needles, syringes, and nebulisers.
For items with faults reported after 30 days, or if a product is past its warranty, please contact the customer service team for advice. If a product is faulty and a replacement is needed but the original item is unavailable, we may provide a similar product from a different manufacturer.
B2B Terms and Conditions
When placing an order with Medulla Supplies Ltd for commercial/business purposes, the Consumer Contract Regulations do not apply. Instead, you agree to adhere to B2B Terms & Conditions.
Credit Accounts and Payment Terms
- Credit accounts may be offered at our discretion, subject to credit status. We reserve the right to withdraw or limit these accounts at any time.
- Payment must be made within 30 days from the invoice date. Failure to pay within this period will result in your account being suspended, and no further orders will be processed until payment is received. We will seek recovery of any unpaid invoices from the company directors as registered on Companies House, and any incurred costs will be added to your outstanding balance.
- All goods remain the property of Medulla Supplies Ltd until fully paid.
Order Processing and Pricing
- Please verify order confirmations promptly to ensure accuracy in prices and delivery addresses; we are not liable for errors.
- Prices are quoted excluding VAT and shipping costs.
- Changes to or cancellations of orders must be made in writing via email; verbal changes are not accepted.
- If an order has been sent for processing, amendments or cancellations may not be possible.
- Prices and product availability are subject to change without notice.
Product Information and Delivery
- Product descriptions and images are accurate to the best of our knowledge; however, manufacturers may alter products without notification, and we are not liable for these changes.
- Delivery dates are approximate, and we cannot be held liable for losses due to late or lost deliveries.
- We reserve the right to adjust delivery charges and will not proceed without your confirmed acceptance of any changes.
- In the event of stock issues, we may substitute items with those of comparable quality and price.
Returns and Exchanges
- Upon delivery, inspect your order immediately. Report any damages or shortages via email within 5 working days; claims made after this period may not be honoured.
- Returns for incorrectly ordered items are not guaranteed and require prior approval from our customer service team.
- Personalized or custom-made items cannot be returned.
- Returns must be in resalable condition with original packaging. A restocking fee may apply, especially if the item is not resalable.
- Unsuccessful deliveries returned to us may incur additional delivery charges upon resending. If an item is shipped directly from the manufacturer and the delivery fails or you cancel, we may charge a restocking fee based on the manufacturer’s fees.
Warranty and Liability
- Medulla Supplies warrants goods against defects in materials and workmanship for 12 months or as otherwise specified. Defective goods must be returned at your expense for repair or replacement, subject to our satisfaction upon inspection.
- Our warranty excludes issues from misuse, wear and tear, and unauthorized repairs.
- We are not liable for any defects, losses, or damages arising from the goods, except as explicitly accepted under these terms.
- All implied warranties or conditions are excluded to the fullest extent permissible by law.
- Except in cases of death or personal injury caused by our negligence, we are not liable for any indirect losses or damages.
Ordering Process
Making an Order
You can place orders on our website at www.medullasupplies.co.uk or by calling our customer service team.
Please ensure that you double-check all details before placing an order, as we cannot cancel or modify it once confirmed. If necessary, you may refuse delivery, and the courier will return the package to us. Provided no non-returnable items are included, a refund may be processed.
Our website complies fully with PCI standards, ensuring that all payment information is securely encrypted.

Our office hours are from 9:00 AM to 4:30 PM, Monday to Friday. We are closed on weekends and Bank Holidays.
We dispatch orders from 9 AM to 4 PM, Monday to Friday. Orders with Next Day delivery chosen before 1 PM should be delivered the following working day.
An email confirmation will be sent for every order to the email address provided at checkout. Please ensure accuracy as we cannot resend this confirmation.
We accept all major credit and debit cards.
Limited Companies may qualify for 30 Day Invoice Accounts, subject to status. All NHS organizations automatically qualify. For more details, please email [email protected].
We strive to dispatch all orders placed before 4:00 PM on the same day, prioritizing those with Next Day delivery. Please select this option if your order is urgent.
While we aim to maintain immediate availability, manufacturing issues can cause delays. Availability is indicated on each product page, but we recommend verifying stock for urgent needs as offline orders may affect online availability.
If an item is unavailable after you order, we will inform you via email. You can then wait for the item, choose an alternative, or cancel the item for a refund.
Please note that product images are for illustration purposes only and do not constitute part of the product description. Medulla Supplies ltd cannot be held responsible for any discrepancies between images on the website and the actual product appearance.
Orders that include products shipped directly from the manufacturer are not eligible for free shipping.
Prices displayed are an invitation to treat; if a price error occurs, we are not obliged to honour the incorrect price. Such orders will be cancelled and refunded.
If there are issues with your payment (such as a bank decline or security concerns), we will contact you. We reserve the right to decline an order or insist that an order be shipped only to the registered address of the payment card.
Upon delivery, inspect the goods for any damage and report any issues by phone within four working days from delivery.
Missing parcels must be reported within four working days of the expected delivery date.
When placing an order, you can either create an account to track orders and save your order history or check out as a Guest, which does not allow for order history tracking.
Payments and Price
Payment for your order will be taken in full from your selected payment method upon receipt of your order. All products are subject to availability.
We reserve the right to modify or revoke any discounts at any time.
Only one discount can be applied per order; discount codes cannot be used in conjunction with other promotions or special offers.
Free gifts are offered subject to availability, and we reserve the right to modify the gift offerings as needed. All prices are exclusive of VAT, which is applied at the current rate, and are displayed in Great British Pounds Sterling.
VAT is applicable on all orders within the UK. Certain products may qualify for VAT exemption, which can be requested by contacting customer service team. To claim VAT exemption on non-exempt products, individuals or organizations must provide appropriate documentation at the time of order.
Ownership of all goods remains with Medulla Supplies Ltd until payment is received in full.
Only one discount code can be used per order, and products already discounted may not be eligible for further discounts with a discount code.

Delivery
The delivery cost for your order is displayed online.
Orders over £100 excluding VAT qualify for free delivery, which is a 3-5 working day service. However, free delivery is not available to all areas of the UK. Areas such as Northern Ireland, the Channel Islands, Isle of Wight, Isle of Man, and remote areas like the Scottish Highlands & Islands are excluded from the free delivery offer.
If your order is eligible for free delivery, you have the option to pay an additional fee at checkout for next working day delivery, provided the order is placed before 1 PM, Monday to Friday. For regions like Northern Ireland, the Channel Islands, Isle of Wight, Isle of Man, and the Scottish Highlands & Islands, we offer a 2-day transit service.
If a courier is unable to deliver your order, it will be returned to our premises. We will hold undelivered orders for 21 days. If we cannot contact the customer within this period, we reserve the right to dispose of the goods.
When your order is processed and dispatched, you will receive an email to the address provided with your order.
